This chapter gets you signed in and oriented before you dive into Totum Video Library, Totum Forms, or Totum Assess.

Totum is the separate platform where your account, organisations, and activity recordings live (totum.surgery). These three applications sign you in with that Totum account and use your Totum organisations β€” they are companion products, not Totum itself.

# πŸ”‘ Sign in

  1. Open the application you need (see Where to open each app below).
  2. If you are not already signed in, you will be taken to the Totum sign-in page.
  3. Sign in with your Totum account (the same account you use on totum.surgery).
  4. After a successful sign-in you land in the app. Your name or initials appear in the header profile menu.

There is no separate account for Forms or Assess β€” one Totum login works across Video Library, Forms, and Assess.

Sign out: open your profile menu in the header and choose Sign out.

Use the development URLs while working against the shared Totum cloud development environment. Public (production) addresses will be added here once they are confirmed.


# 🏒 Organisations

Most work in these apps happens in the context of a Totum organisation (sometimes called a group) β€” for example a hospital trust, training programme, or simulation centre.

# The organisation switcher

In the header you will usually see an organisation switcher. It shows:

  • The name of your current organisation
  • Sometimes a short list of product seats you hold in that organisation (for example Assess or simulation products)

If you belong to more than one organisation:

  1. Click the organisation switcher.
  2. Choose the organisation you want to work in.
  3. The app updates to that organisation’s data (frameworks in Forms, cases and assignments in Assess, eligible assessors in Video Library, and so on).

πŸ’‘ Tip: Always check the organisation switcher before you create frameworks, submit a video for assessment, or look for missing cases. The wrong organisation is the most common reason something β€œisn’t there”.

# Default organisation

Where your programme supports it, you can set a default organisation (often via a star ⭐ in the switcher). That organisation is preferred the next time you sign in.


# 🎟️ Seats and access

Access to each of these applications is controlled by a seat for that product in your selected organisation.

In plain language:

  • Having a Totum login is not enough on its own.
  • Your organisation must have licensed the product (Totum Video Library, Totum Forms, and/or Totum Assess), and you must be assigned a seat for it.
  • If you can sign in but cannot use an app (or you see an access / β€œno seat” style message), ask your organisation administrator or support contact to check your seat assignment.

Different products use different seats. For example, someone may have a Video Library seat but not an Assess Reviewer seat β€” they can watch and invite informally, but they may not appear as a formal assessor in the peer picker.

# ⚑ Mini quick starts

# 🎬 Video Library β€” share and submit

  1. Open Totum Video Library and sign in.
  2. Confirm the correct organisation in the header.
  3. Open a video from the Video Library tab.
  4. To collaborate informally: invite a Reviewer or Viewer from the Invites panel (you usually need a Social Connection on the Totum platform first).
  5. To request formal assessment: choose Assessors, select eligible peers, then Submit for Assessment.

  1. Open Totum Forms and sign in.
  2. Confirm the correct organisation.
  3. On My Frameworks, create a new framework.
  4. Add phases and steps in the editor, then Publish a version.
  5. Tell your Assess administrator which published version to use in programme settings.

  1. Open Totum Assess and sign in.
  2. Confirm the correct organisation.
  3. Go to Assignments (My Assignments).
  4. Accept a pending case, start the assessment, score the framework items, and submit.
